*Hours: 07:30 – 16:00 Monday – Friday.*

Summary

We currently have an opportunity for a Receptionist to join our admin team based at our Head Office in Grove Park, Leicester. Reporting to the EA to CEO, this is a customer facing role involving communicating professionally with internal and external stakeholders.

The Role

  • Maintain a positive, professional, and friendly company image by acting as the first line of contact to colleagues, visitors, customers, and vendors in person and via the telephone.
  • Ensure all visitors are fully briefed on all procedures and conditions of entry to the site.
  • Maintain accurate records of visitors to site
  • Maintain colleague information notices to ensure all information is current, consistent and legible.
  • Support different departments with any required and sometimes adhoc administration tasks.
  • Manage meeting room booking system
  • Confident in handling queries and complaints via phone or in person
  • Confident in telephone systems
  • Recording and maintaining office expenses
  • Handling travel arrangements
  • Manage the day to day incoming and outgoing post systems.
  • Maintain a tidy and presentable reception area
  • Manage the ordering of stock and replenishment of colleague vending machines and stationery.
  • Provide support with events at Head Office

Essential

  • Experience of working in a professional receptionist position and administration role
  • Ability to learn the company’s objectives, operating and reporting structures.
  • Excellent communication skills with good telephone and email manner.
  • Good IT skills
  • Understanding of financial aspects of the work.
  • Ability to prioritise and handle difficult situations.
  • Good organisation skills and diligence in record keeping.
  • The aptitude to balance taking the initiative and seeking guidance.
  • Excellent team player - This role is within a small team and it is essential that everyone can work together and provide cover and support where needed.
  • Ability to work under pressure.
  • Effective time management
  • Able to work on own initiative with minimum supervision
  • Driving license 
  • Familiarity with multi-line telephone systems

Desirable

  • Advanced skills in Word, Excel, Ppt and Teams
  • Flexibility for additional hours
